Administrative Assistant II
GENERAL STATEMENT OF DUTIES:
Works under the general supervision of the Fire Chief. Performs a wide variety of administrative and clerical duties to assist with the support of the Fire Department's prevention, inspection, incident response and data collection goals.
EXAMPLE OF DUTIES:
Prioritizes, composes, and types correspondence, reports, memoranda and statistical reports. Inputs Departmental data into the computer data collection system including but not limited to incident reports, staff/personnel information, training records and hours, inventory, maintenance records, assuring accuracy and completeness. Organizes and maintains filing systems for the Fire Department. Processes check requests, P.O.'s, time sheets, and other forms according to established methods and procedures; examines for accuracy and completeness, resolving, or deleting errors and omissions as needed. Reviews, compiles and uploads incident documents to billing company for all department EMS transports. Review and upload NEMSIS and NFIRS reports to the State of CO. Performs secretarial and clerical duties for the Glenwood Springs Rural Fire District Board and Volunteer Firefighter Pension Board, including but not limited to preparation of Board member packets, meeting agendas, minutes, correspondence, actuarial studies, requests for pension and death benefits, and file maintenance as needed. Serves as a recording secretary for Officer meetings. Safety Committee representative. Receives the public, answers general inquiries or refers them to the appropriate person, and issues burn permit applications and coordinates burn site inspections. Assists other Departments and Divisions with special projects as defined by the Fire Chief. Performs other related duties as required or designated.
REQUIRED KNOWLEDGE & SKILLS:
High school diploma or equivalent. Must possess extensive knowledge of computer use, including but not limited to word processing, tables, advanced editing, file maintenance, and data base management. Must have working knowledge of basic office methods and procedures, alpha-numeric filing, spelling, punctuation, composition, arithmetic, computations, bookkeeping and accounts receivable and payable practices and techniques. Must be able to successfully prioritize work and complete projects within a deadline with close attention to details and accuracy utilizing a wide variety of office machines. Must continuously examine work techniques and procedures, advising, recommending and/orimplementing innovative ways to improve efficiency, effectiveness, work quality and inter-Departmental cooperation. Must strive to maintain effective communication between the FireDepartment and other City, District, and State departments and officials.
Salary: $19.57/hr. - $23.49/hr.
