Humanitas360 Institute seeks a motivated professional with superb organizational skills to support the President, the Board of Directors, the Advisory Board and the operational needs of the organization. This is a remote position and open to candidates living in the Aspen and Basalt areas. This position reports to the President of Humanitas360.
Areas of Responsibility
1. Support the President (50%) - Activities include, but are not limited to: Coordinating and managing the President’s calendar in the US; Drafting internal and external communications as requested; Setting up email communications for the President’s approval; Tracking and supporting organization-wide initiatives led by the President. 2. Support organizational operations (30%) - Activities include, but are not limited to: Participating in meetings and representing H360; Responding to routine organizational inquiries via mail and email; Coordinating agendas and providing logistical support to H360’s colleagues traveling to the US; Providing logistical support at Humanitas360 Institute’s Annual Advisory Board Meeting; Supporting the implementation of actions related to existing fundraising strategies to support the organization and liaising with fundraising associate; Checking the organizational PO Box and distributing mail; 3 Support the Board of Directors (20%) - Activities include, but are not limited to: Scheduling and managing all meetings with the Board and working groups including in-person, web, and phone-based meetings; Accurately recording minutes from all Board and working group meetings; Disseminating and filing all meeting notes; Tracking the priorities of the Board and working groups; and keeping staff abreast of these priorities; Managing the logistics of all in-person Board meetings, including supporting all audiovisual needs and handling food and beverage requests; Managing the Board GoogleDrive folder and ensuring all Board documents are accessible; Assisting in the development of materials for Board meetings. Qualifications: Proven experience as an Executive Assistant, Administrative Assistant, or similar role Experience exercising discretion and confidentiality with sensitive information Excellent organizational skills with an ability to think proactively and prioritize work Flexible and able to nimbly adapt to emergent organizational priorities and needs High level of computer literacy, including confidence using Google Apps, Slack, Zoom, Word, Excel, and Adobe PDF software tools Exemplary interpersonal, verbal, and written communication skills Enthusiasm for mastering new skills and tools Ability to work independently and with remote teams; Willingness to pitch in as needed; Commitment to Humanitas360 Institute organizational vision, missions, and program
